Accommodation Rules and Conditions
Bookings and unique group reference number
Bookings can be made directly with the hotel or apartment property by contacting the appropriate person listed below and quoting the group reference number. The specific unique reference number quoted next to each property below must be quoted in all correspondence to obtain the conference rate. All reservations will require a credit card deposit or prepayment
You can reserve accommodation bookings with a credit card. Alternatively, Government Departments can request a proforma invoice. No reservations will be held unless prepayment has been made prior to the delegates’ arrival and must be paid well in advance. Please do not leave payments to the last few weeks prior to the conference.
Cancellations and no shows
All accommodation cancellations will be required well in advance. Be mindful of the cancellation clause required by your hotel as they will differ from each property. Penalties will be incurred if cancellations are made at the last minute.
Change to arrival and departure dates
Should your ARRIVAL or DEPARTURE date alter due to flight disruptions or for other reasons, please advise hotel immediately and prior to initial arrival date. If you fail to do this and don’t arrive on the date booked, you will be regarded as a NO SHOW and your room released. One to two nights’ deposit and in certain cases, the full amount of your stay will be forfeited.
Security Deposits
It is a requirement of all hotels and/or apartments that a credit card imprint or a reasonable cash deposit is given to the hotel reservation staff on check-in as security toward expenses. This deposit is to cover any incidental expenses eg telephone calls, bar or room service that you may incur during your stay. If paying by cash please ask the hotel staff when booking what cash amount is required nightly so that all delegates have enough money to cover this security deposit.
Check-In Times
Hilton Hotel check in time is 3pm. For all other hotels and apartments check in is from 2pm - please confirm with hotel.
